Full Terms & Conditions are outlined below.
1. Booking & Payment
A deposit or full payment is required to reserve your space in the retreat. Spaces are limited and are only confirmed once payment or deposit has been received.
If a payment plan is offered and selected, participants agree to complete all scheduled payments by the stated deadlines. If a payment is missed, we'll always do our best to reach out and work something out — however, continued non-payment may result in your space being released.
Retreat bookings may not be transferred or resold without prior written approval from Escape Between the Lines Ltd.
2. Cancellation & Refund Policy
We know life happens, and we truly wish we could be more flexible here. Because our retreats are small and intimate, every booking directly impacts the experience we're able to create, which means all retreat payments — including deposits — are non-refundable.
If something comes up and you're unable to attend, your booking may be transferred to another person with prior approval from Escape Between the Lines Ltd.
If we ever need to cancel a retreat due to circumstances outside of our control, you'll receive either a full refund or the option to transfer your payment to a future retreat.
Escape Between the Lines Ltd. is not responsible for personal travel costs or transportation arrangements.
3. Organizer Cancellation & Minimum Attendance
Escape Between the Lines Ltd. reserves the right to cancel or reschedule a retreat if the minimum number of participants required to operate the retreat is not met, or due to circumstances beyond our control including venue issues, safety concerns, severe weather, or other unforeseen circumstances.
If a retreat must be cancelled by Escape Between the Lines Ltd., participants will be notified as soon as possible and will receive either a full refund or the option to apply their payment as a credit toward a future Escape Between the Lines retreat.
Confirmation timelines and any retreat-specific deadlines will be communicated in your booking confirmation.
4. Retreat Schedule & Activities
Retreat schedules and activities may shift slightly based on weather, venue, or other circumstances — but we'll always communicate any changes as early as possible.
Our retreats are intentionally relaxed and flexible. Nothing is mandatory. Whether you spend the weekend deep in a book, joining every activity, or somewhere in between — we want you to enjoy the retreat in whatever way feels right for you.
5. Accommodation & Shared Spaces
Depending on your ticket tier, accommodations may include shared or private sleeping spaces, as well as shared common areas.
We ask that all guests treat the property, furnishings, and shared spaces with care — the same way you'd hope others would treat a space you loved. A little consideration goes a long way in keeping the retreat atmosphere peaceful and welcoming for everyone.
6. Bathroom & Shared Facility Use
Some retreat accommodations include shared bathrooms and communal areas such as kitchens and lounges.
We ask guests to be mindful of others when using shared spaces and to leave them as they found them. A little courtesy makes a big difference when you're sharing a home with fellow readers.
7. Airbnb Property Use
Our retreats take place in privately owned vacation rental properties. By attending, participants agree to respect the property and follow all house rules provided by the organizers and the property host.
If any damage occurs as a result of a participant's actions, that participant may be responsible for associated repair or replacement costs, including any costs charged by the property owner.
8. Venue Changes
In rare circumstances, a venue may need to change due to factors outside of our control. If this happens, we'll always work hard to find an alternative venue of similar quality whenever possible and will communicate any updates as soon as we can.
9. Behaviour Expectations
Escape Between the Lines Ltd. retreats are spaces where everyone should feel welcome, safe, and at ease. We ask all guests to be kind and considerate toward one another and toward the space.
In the rare case that a guest's behaviour is disruptive or makes others uncomfortable, we may need to ask them to leave in order to protect the experience for the rest of the group. We hope it never comes to that — and it very rarely does.
10. Alcohol & Substance Policy
Our retreats are designed to be calm and restorative, and we want everyone to feel comfortable regardless of their relationship with alcohol.
Unless explicitly included as part of the retreat experience, alcohol and recreational substances are not permitted. This helps us maintain the kind of gentle, welcoming atmosphere that makes these retreats special.
We appreciate everyone respecting this so that all guests can fully unwind and enjoy the experience.
11. Quiet Hours & Shared Space Courtesy
To make sure everyone gets the rest they came for, we ask guests to observe quiet hours from 10:00 PM to 7:00 AM.
During these hours, we ask that noise in shared spaces — especially near sleeping areas — is kept to a minimum. We're all there to recharge, and a good night's sleep is part of that.
12. Illness & Arrival
We genuinely care about the health and comfort of every guest at our retreats. Because we gather in close, shared spaces, we ask that if you're feeling unwell — particularly with cold, flu, or respiratory symptoms — please reach out to us before attending.
We'll always do our best to work with you on next steps and find a solution that feels fair. Please note that our standard cancellation policy still applies.
13. Food, Allergies & Dietary Restrictions
Retreat meals and snacks may be prepared by Escape Between the Lines Ltd. organizers, and we put a lot of care into making sure everyone feels taken care of at the table.
To help us do that, participants are asked to share any allergies, dietary restrictions, or food intolerances ahead of the retreat through our guest information form.
While we'll always do our very best to accommodate disclosed needs, we want to be transparent: food may be prepared in environments where common allergens — including gluten, dairy, nuts, eggs, and soy — may be present. We cannot guarantee a fully allergen-free environment, so guests with severe allergies are encouraged to use their own discretion when consuming provided food.
14. Photography & Media
We love capturing the magic of our retreats to share with our community. Photos or video may be taken during the retreat for use on social media, our website, and other promotional materials.
By attending, participants give permission for images that may include them to be used for these purposes. If you'd prefer not to appear in any photos, just let us know — we're always happy to be mindful of that.
15. Personal Responsibility
Participants are responsible for their own personal belongings throughout the retreat. Escape Between the Lines Ltd. is not responsible for lost, stolen, or damaged items.
We also ask that guests take responsibility for their own health, wellbeing, and choices when participating in retreat activities.
16. Liability
By attending an Escape Between the Lines Ltd. retreat, participants acknowledge that they are doing so voluntarily and take responsibility for their own participation.
Escape Between the Lines Ltd. and its organizers are not liable for injuries, damages, losses, or personal property claims that may occur during the retreat or from participation in retreat activities, except where required by applicable law.
17. Ticket Tiers & Room Assignments
Retreat accommodations and inclusions vary depending on the ticket tier selected at the time of booking. Here's a quick overview of what each tier offers:
-
Premium Escape (Tier 1) — our highest level of comfort and privacy, with premium room accommodations and inclusions.
-
Private Escape (Tier 2) — a private room experience with everything you need for a restful, personal retreat.
-
The Shared Escape (Tier 3) — a shared room experience in a warm, communal setting, perfect for connecting with fellow readers.
-
The Cozy Escape (Tier 4) — our most accessible tier, designed to give every guest a beautiful retreat experience.
Full details of what's included in each tier are available on the retreat booking page.
Room assignments are made by Escape Between the Lines based on the tier purchased at booking. While we'll always do our best to accommodate preferences where possible, specific room requests or tier changes after purchase cannot be guaranteed and are subject to availability and approval.
18. Illness, Emergencies & Early Departure
We completely understand that life is unpredictable, and we genuinely wish we could be more flexible in these moments. If you become unwell, experience a personal emergency, or need to leave the retreat early for any reason, please don't hesitate to reach out to us directly.
While we're unable to provide refunds or credits for unused portions of the retreat, we'll always do our best to handle these situations with as much care and compassion as possible.
19. Property Rules & Guest Conduct
All guests are expected to follow the property rules provided by Escape Between the Lines Ltd. and the Airbnb host. These rules exist to protect the space, the experience, and everyone in it.
In cases where property rules are seriously disregarded, or where a guest's conduct puts the venue or other guests at risk, we may need to ask that guest to leave. We appreciate everyone's cooperation in keeping these retreats the special, safe spaces they're meant to be.
20. Outdoor Activities & Personal Safety
Some retreats take place in natural or rural settings where guests may have the opportunity to enjoy outdoor activities such as walking or hiking.
All outdoor activities are entirely optional and are undertaken at each participant's own discretion. Guests are asked to be mindful of their own safety and to follow any safety guidance provided by the retreat hosts or property owners when using outdoor amenities.
21. Payment Disputes & Chargebacks
By purchasing a retreat ticket, participants acknowledge and agree to the payment and cancellation policies outlined in these Terms & Conditions.
Participants agree not to initiate payment disputes or chargebacks with their payment provider for services rendered or reserved under these terms.
If any issues arise with a booking, we encourage guests to contact Escape Between the Lines Ltd. directly so we can work together toward a resolution.
Final Note
These Terms & Conditions may be updated from time to time. The most current version will always be available on the Escape Between the Lines Ltd. website.
